Mannix College - Protecting Your Privacy

Mannix College is highly committed to protecting your privacy. We are required by law to protect personal, health and other confidential information in accordance with the Privacy Amendment (Private Sector) Act 2000 and the Health Records Act 2001.

Collection and Use of Personal Information

Mannix College will only collect information about you that is necessary for us to perform our functions. Information is collected for the primary purpose of offering residential accommodation at Mannix College. The type of information we collect will include personal details from which you can be identified or which are relevant to your application to be offered a place in the College, contact and next-of-kin details, information about your attendance and performance at University, your residence in the College and use of our services.

For residents of Mannix College, we may be required to use personal information for:

• The provision of academic and pastoral support
• Correspondence
• Attending to day-to-day administrative matters
• Statistical purposes

Wherever possible, we will collect information directly from you rather than from third parties. We will do our best to always collect information about you only by lawful and fair means and in a non-intrusive way.

When Mannix College collects personal information directly from you (for example if you apply for a residential place at the College), Mannix College will take reasonable steps at or before the time of collection to ensure that you are aware of why we are collecting the information and the third parties to whom we may disclose that information.

At times, Mannix College will need to collect information from third parties (for example, we may need to access your academic records from your University). Mannix College will do our best to ensure that you are aware that we are collecting that information.

If you choose not to provide the information requested, Mannix College may not be able to provide services to you.

 

Disclosure of Information

Mannix College has a duty to maintain the confidentiality of residents' personal and health information. Mannix College will only use or disclose personal information in accordance with the Acts. Examples of the types of people and organizations to which we may disclose information include:

• Employees, agents, contractors and external advisers, such as lawyers, auditors and accountants, where this information is required to conduct their business in the College.
• Monash University and associated entities;
• Other relevant tertiary institutions, including Deakin University; and
• Government Departments such as Centrelink, the Australian Taxation Office, Department of Immigration, Multicultural and Indigenous Affairs.

 

Storage and Security of Personal Information

Mannix College is committed to protecting your privacy and will take reasonable steps to:

• Ensure that any personal information Mannix College collects, uses and discloses is accurate, complete, up-to-date, and relevant to the functions performed;
• Protect your personal information from loss, misuse, unauthorised access, modification and disclosure;
• Destroy or permanently de-identify personal information when required by the Privacy Laws.

 

Access to Personal Information

Mannix College will provide access to your personal information on request, unless there is an exception that applies under the Information Privacy Principles or Health Privacy Principles such as:

• Access would pose a serious threat to the life or health of any individual;
• Access would have an unreasonable impact on the privacy of others;
  The request is frivolous or vexatious;
• Access would be unlawful or denying access is required or authorised by law (e.g. Mannix College has a duty of confidentiality and will not provide access to personal information about you if it will breach that duty);
